Cabinet Meeting Norms

Cabinet members have agreed on a set of norms for how we work together during meetings. 

Meeting Norms

  • Distribute agenda and materials in advance of the meeting (Try for at least 2 days prior to meeting)
  • Make  for pre-reading or pre-work clear
  • Respect time frames: Start and end on time
  • Silence cell phones whenever possible; use laptops for meeting purposes only
  • We will begin each meeting by checking in to share anything that might interfere with members’ ability to access the meeting and be completely present
  • Agree on facilitator, guardian, and note-taker for every meeting. These roles circulate.
  • Post meeting notes in google drive within two days of meeting. Make assignments generated from the meeting clear.
  • Absent members will check the meeting minutes in the google drive for an update. When needed, Cabinet group will assign members to check in with absent members and ensure they have updates.

The Cabinet works to incorporate a MUTUAL LEARNING MINDSET into our attendance at meetings.

MUTUAL LEARNING MINDSET

  • Transparency: I have some information; so do other people
  • Curiousity: Each of us may see things the others don’t
  • Accountability: I may be contributing to the problem
  • Informed Choice: Differences are opportunities for learning
  • Compassion: People may disagree with me and have pure motives

GROUND RULES

  1. State views and ask genuine questions
  2. Share all relevant information
  3. Use specific examples and agree on what important words mean
  4. Explain reasoning and intent
  5. Focus on interests, not positions
  6. Test assumptions and inferences
  7. Jointly design next steps
  8. Discuss undiscussable issues
